1. It is now possible to implement a restriction policy upon Operators, whereby Operators can only view and edit Subject Records that have either been created by them or have been assigned to them. 

    

2. How does this work? 

    

3. There are 2 main steps to implementing this restriction. 
   1. Assigning subjects to existing operators
   2. Setting the switch in the Administration Menu to turn on the policy.

       

4. It is important to carry out these steps in the right order since, initially, no subjects have been assigned to specific Operators, since this is a new feature. This means if you turn on the feature but do not assign your subjects to Operators, no subjects will be available to Operators. There are video demonstrations lined in below.

    

5. Rules:
   1. The policy only applies to Operators, NOT, administrators.
   2. Only Administrators can 'globally' assign subjects to Operators in the first instance, and from Operator to Operator after the policy has been implemented.
   3. The policy can be turned on and off
   4. All Subjects created from this point forward, (22 May 2009) will be 'assigned' to the Operator/Admin who created them. The 'assignment' is only effective or evident with the policy turned on.
   5. An Operator can assign his or her subject to another Operator or Admin, but after assignment will be locked out of that subject's record.

       

6. Where in the Application do I effect / set up the policy?
   1. The initial assignment of Subjects is carried out by an administrator from the 

           Administration Menu > Manage 'Your Organisation' > Assign Subjects to Operators

   2. Thereafter, the Administrator can move all subjects belonging to one Operator to another Operator.

7. How do I turn on the policy?
   1. In order to actually turn on the policy, you should go to the administration menu and modify the properties of your application to reflect the policy, Refer figure 2.
